Employee is departing – what to do?

What happens to the benefit bike contract when an employee leaves?

The bike contract does not automatically end when employment ends. The contract stays active until the employee takes action to return the bike, redeem it, or transfer it through their Vapaus account or the employer informs Vapaus.

To make sure a contract ends, employers must contact Vapaus latest on the 20th of the month.

How does an employee end their contract when leaving?

The employee can choose one of these options through their Vapaus user account:

  • Return the bike — Returns the bike to Vapaus if they have cancellation coverage. A cancellation fee applies.

  • Redeem the bike — Pays the redemption price to buy the bike outright. Price depends on months used.

  • Transfer the bike — Transfers to a new employer using Vapaus/Oomi Fillari, to another leasing company, or to a colleague at the current company (with written agreement). Transfer fees may apply.

The employee must submit their choice by the 20th of the month for processing that month. Requests after the 20th process on the last day of the next month.

Employer actions & liabilities:

  • Revoking benefit access: In the employer portal, navigate to the employee's Permissions tab and click "Revoke all benefit permissions." This prevents ordering a NEW bike, but does not terminate an active contract.
  • Invoicing: Monthly invoices will continue until the contract is officially ended.
  • Liability: If the employee fails to pay required fees (cancellation fee or redemption cost), the employer may be held liable based on leasing liability.
