Why Vapaus needs my personal information?

We take your privacy seriously. Here's why we need your personal information.

When you create a Vapaus account, you'll provide some personal data. We want to be transparent about why we need it and how we protect it.

Email address

We use your email to:

• Identify you as an employee of your employer
• Give you access to your bike benefit
• Log you into the system
• Send you service updates and support messages

Full name and home address

These are legally required for us to issue compliant invoices (Finnish law).

They also help us deliver your service quickly once you're ready to order your bike.

Social security number

We use strong identity verification (through Nets) to:

• Confirm you're who you say you are
• Prevent misuse of the system (multiple bike orders)
• Comply with legal requirements if debt collection is needed

Your social security number is protected. Only you and a limited number of Vapaus staff can access it. It's only used in legal/debt cases.

Optional information

Depending on your employer, you may also provide:

• Cost centre and employee ID — Used by your employer for payroll reporting
• Payment method — Required if your contract has recurring monthly payments
• Phone number and additional email addresses — Helpful if you change jobs or need account recovery (optional, not required)

How we protect your data

Security is our priority:

• Servers located in Finland with EU backups
• All servers protected by VPN and firewall
• Access monitored and logged
• GDPR best practices followed
• Data only used to provide or improve our service
